Who this is for
This is a private workspace for approved Infernis Games and Hellbounds staff, volunteers, testers, and invited collaborators. Your access is for your own role. Do not share accounts, bypass permissions, scrape records, or go looking through information you do not need.
What we keep
We keep the profile and Discord details needed to identify you and manage access: your name, email if provided, Discord ID and display details, relevant server membership and roles, profile preferences, permissions, and account status. We also keep work you create or submit here, such as documents, quizzes, comments, reports, moderation records, and files.
For security and accountability, the portal records sign-ins, timestamps, IP addresses, browser/device information, protected-link use, uploads, downloads, changes, and administrative actions. Discord synchronization may read the configured staff, role, and punishment channels. We use this to make the portal work, deliver notifications, control access, and investigate problems - not to publish your private details.
Profiles, birthdays and connected identities
We keep timezone, display and notification preferences and linked Minecraft identity for staff operations. Birthday is optional: month and day only, not age or birth year, and visible to authenticated people with relevant profile/calendar access. Staff and QA membership can both contribute to access; your displayed clearance is not the whole permission model.
Bug reports, suggestions and attachments
Reports keep their submitter attribution, details, location where supplied, priority, status, comments, supporting links and uploaded evidence. Give useful reproduction steps, not a dump of unrelated private messages. Crop or redact player details, tokens, passwords and personal information that the reviewer does not need.
Attachments are private panel records with authorization checks and encrypted file storage, viewed with the associated report rather than through the general searchable photo gallery. New attachments total up to 100 MB, with smaller image limits shown in the form. For a larger non-sensitive video, use YouTube Unlisted and the Supporting link. Unlisted is not private: anyone with the link can watch or forward it. Ask for a private route for confidential evidence. Browser video playback depends on codecs; downloading a recording is a separate option.
GitHub, Discord and approved exports
Authorized review can send approved bug content, displayed submitter attribution, comments and supported image copies to the configured GitHub destination. Issue status and correspondence can sync back. Approved Discord workflows may send report images, summaries, updates and protected links; suggestion delivery follows its configured staff/QA destinations. A panel link still requires panel authorization, but an exported image is a separate copy governed by the destination’s permissions.
Panel-visible game fixes may appear as QA changelog title posts with description threads and contributor display names. Do not put private investigations or credentials in a changelog-ready PR description. “Panel-visible” is not a stamp of universal public consent.
Documents, guides and work records
Documents can be shared with approved panel roles or people. A published guide can show its authorized embedded images to permitted guide readers without giving them general gallery access. Publication is a sharing decision: check the intended readers before publishing. Guide progress and per-page confirmations are recorded; acknowledge each page honestly. Quizzes, results, assignments, comments, moderation evidence and enabled application/intake records remain subject to their own access controls.
Notifications and approved AI assistance
Bug-update Discord mentions default off. You may opt in from your profile; mentions are limited to once every three hours and intermediate updates can edit the existing message. Administrators may manage authorized notification topics. Muting an alert does not erase a record, complete an assignment or stop necessary security/monitoring events.
When enabled and used, approved AI assistance may send your request and relevant permitted text or record excerpts to the configured OpenAI API. Provider processing terms apply; we do not promise that a provider retains nothing. Do not include secrets or unrelated personal data. Review generated drafts, summaries and advice before using them: confident wording is not evidence, and the assistant is not your manager.
Discord and storage
Discord sign-in requests identify and guilds. Discord runs its own service under its terms and privacy policy. Portal secrets and sensitive records use the portal’s encrypted storage and role-based access. No system is perfect, so keep your device and session secure too.
How long records stay
Login evidence is ordinarily kept for up to 180 days. Account, agreement, audit, moderation, document, and file history may stay longer when the team needs it for operations, security, or an accurate record of what happened. Deleting an account, closing a bug, completing a task or muting alerts does not automatically erase shared work, attachments, delivery receipts, guide acknowledgments or agreement history. Reports and uploaded evidence do not have a universal automatic deletion deadline. Their useful operational lifetime, security/dispute needs and applicable recordkeeping duties determine retention. Copies already exported to GitHub, Discord or a link host, and recipients’ downloads, may require separate correction or deletion; we cannot promise to recall every copy.
Work and sharing
Staff work submitted here is team material. Keep it in approved spaces and do not repost screenshots, player details, investigations, documents, credentials, or protected links without permission. Check who can see something before you share it. If you expose something by accident, tell an administrator promptly so we can contain it.
What happens if someone breaks the rules
We may restrict or remove portal access, demote or remove someone from staff, and potentially ban them from associated communities for leaking information, abusing access, or mistreating people. We may keep relevant audit records while reviewing what happened. This is about protecting the team and community, not threatening people with a lawsuit.
Questions or corrections
Ask an Infernis Games administrator in the official staff channel if something here is unclear or your profile information needs correcting. For access, correction, deletion or other privacy requests, you can also contact contact@infernisgames.com. Applicable rights depend on your circumstances and jurisdiction; verification and lawful retention limits may apply. We may update this page when the portal changes; the version and date below tell you which wording is current.
